Invoicing Specialist

About the role

Viral Nation is looking for a detail‑oriented Invoicing Specialist to manage the full invoice lifecycle for creators and influencers. You will be the primary billing contact, ensuring invoices align with Statements of Work and are processed efficiently through HubSpot.

Key responsibilities

• Request, receive, and verify invoices from influencers, creators, and their agents.
• Confirm payment amounts and finance point‑of‑contact details.
• Cross‑check each invoice against the fully executed SOW for accuracy.
• Create billing tickets in HubSpot Deals and attach required documentation.
• Track payment status, follow up on overdue invoices, and maintain accurate billing records.
• Serve as the main communication channel for creators, agents, and internal campaign teams regarding billing inquiries.
• Generate and analyze invoicing and accounts‑receivable reports for management.
• Ensure compliance with financial regulations, company policies, and confidentiality requirements.

Required profile

• High school diploma or GED required; associate’s or bachelor’s degree in accounting, finance, or related field preferred.
• 1–2 years of experience in billing, invoicing, accounts receivable, or a similar role, preferably within a marketing agency or creator‑economy environment.
• Strong attention to detail and ability to work independently in a fast‑paced setting.

Required skills

• Proficiency with QuickBooks or similar accounting software.
• Experience using SAP or comparable enterprise resource planning tools.
• Familiarity with HubSpot ticketing and CRM systems.
