Central Purchasing Clerk

About the role

The Central Purchasing Clerk manages incoming shipments, inventory and stock handling efficiently and accurately. The role keeps inventory levels maintained, ensures stock is properly stored and that all documentation is correctly processed, while keeping the storeroom organized and clean in line with company and HACCP standards.

Key responsibilities

• Receive shipments and deliveries, inspect them for quality and quantity, and document the details
• Reorder stock based on par level alerts and maintain accurate inventory records, including expiry dates, using FIFO principles
• Process duty-free stock orders, print labels, verify invoices against purchase orders and receiving slips, and check for damage and expiry
• Pick stock based on authorized documentation and distribute it to Housemen and Stewards
• Enter quotations, purchase orders and invoices into the AS400 system, prepare short delivery notes and pick orders, and close or issue pick orders after shipment
• Maintain detailed records of all stock transactions and keep the storeroom tidy and organized
• Record freezer and fridge temperatures three times daily and alert the Purchasing Manager when items reach par level
• Assist in monthly stock takes and report discrepancies, damaged goods or shortages to the Purchasing Manager

Required profile

• High school diploma or equivalent; supply chain, purchasing or related certification is a plus
• HACCP certification or knowledge of HACCP standards preferred
• At least 2 years of experience in purchasing, inventory management or a storeroom role
• Experience with inventory management software such as AS400 is highly desirable
• Previous hospitality or food service experience is an advantage

• Basic computer literacy
• Ability to perform light to moderate physical work and lift up to 50 lbs
• Good communication skills with suppliers
